What is an ID card maker?
An ID card maker is a tool that turns a list of people into printable identity cards. Instead of drawing a card by hand in a design program and then copying it once per person, you describe the card once — its size, its layout, which fields it shows, what colours and logo it carries — and then feed in the people. The tool repeats the design for every person and fills in their own name, number and photograph.
That distinction matters more than it sounds. A school secretary making 340 student cards in a word processor spends most of the day nudging text boxes. The same 340 cards from a spreadsheet, through a generator, is a paste, a check of the preview, and a print job. The design work happens once.
This particular ID card maker adds a second job on top: the sheet generator. Real ID cards are small. A standard card is 85.6 × 54 mm, which means eight of them fit on an A4 page with comfortable 10 mm margins, and ten if you tighten the margins and gaps. Printing them one to a page would waste most of your card stock, so the tool arranges as many cards as will fit onto each sheet, adds crop marks so you know where to cut, and paginates the rest.

How to create an ID card online
The tool is arranged as six steps. On a wide screen they are all visible at once as a three-pane editor; on a phone you move through them one at a time.
- Choose a template and card size. Eight templates cover the common cases. Pick the one closest to what you want — you can change every colour afterwards, so treat it as a starting layout rather than a final commitment. The default size is CR80, the credit-card size.
- Add a person and their photo. Type a name, an ID number and whichever other details you need. Drop in a photograph and crop it so the face sits in the frame. On a phone you can shoot the photo directly.
- Add your branding. Organisation name, tagline, card title, footer line, contact line and logo are shared by every card, so you set them once. This is also where you switch individual fields on and off.
- Check the card preview. The preview is drawn at the exact card proportions, so what you see is what the printer produces. Step through people with the previous and next buttons to spot a name that has run long or a photo that needs re-cropping.
- Arrange the sheet. Choose the paper, margins and spacing. The tool reports the grid it worked out — for example 2 × 4, 8 cards per page — and lays the cards out.
- Print or download. Print straight from the browser, or export a PDF or PNG to print later or send to a print shop.
How to make multiple ID cards on one A4 sheet
Fitting several cards on a page is arithmetic, and the tool does it for you, but it helps to know the shape of the calculation because it explains why a small change to a margin suddenly costs you a whole row.
The usable width of the page is the paper width minus both margins. Into that you fit as many card widths as possible, remembering that every card after the first also needs a horizontal gap in front of it. The same applies vertically. In other words:
- columns = whole number of times (card width + gap) fits into (usable width + gap)
- rows = the same calculation with heights
- cards per page = columns × rows
On A4 portrait — 210 × 297 mm — with 10 mm margins and 4 mm gaps, a landscape CR80 card gives you 2 columns and 4 rows, so 8 cards per page. Two columns is the hard ceiling across the width, because a third card would need 273 mm and there are only 190 mm to play with. The rows are where the give is: drop the margin to 5 mm and the gaps to 2 mm and a fifth row appears, taking you to 10 cards per page. Switch the cards to portrait instead and the grid becomes 3 × 3, which is 9 per page — one more card, in a shape that hangs better on a lanyard.
If you need more per sheet, the levers in order of usefulness are: reduce the gaps to 2 mm, reduce the margin to 5 mm if your printer can reach that close to the edge, and try the paper in landscape, which sometimes reshuffles the grid in your favour — A4 landscape takes CR80 cards 3 × 3, for instance. The statistics panel updates instantly, so you can try each one and watch the count.
Employee ID cards
An employee card has to do two jobs: identify the person to a human at a glance, and carry whatever machine-readable or administrative identifier your organisation runs on. That usually means a photograph large enough to recognise from a metre away, a name in a size that reads across a reception desk, and an employee number that is unambiguous when typed into a system.
The employee and office templates are built around that hierarchy — name largest, designation and department secondary, employee number in a fixed position at the bottom where a security guard knows to look. A valid-until date is worth adding even for permanent staff, because it forces cards out of circulation on a schedule instead of leaving old badges working forever.
A practical detail: put the return address or a contact number in the footer line. Lost badges get handed in far more often when there is somewhere obvious to hand them in to.
Student ID cards
Student cards carry more fields than staff cards, and the fields are different. Class and section, roll number, date of birth and an emergency contact number all tend to be required, and the address often is too, particularly where the card doubles as a bus pass or a library card.
That is a lot of text on 85.6 × 54 mm. Two things help. First, switch off any field you do not actually need — every field you remove gives the rest more room and makes the card easier to read. Second, use the portrait orientation for student cards. A portrait card stacks details vertically under the photograph, which suits a long list of short values much better than a landscape card does, and it hangs correctly on a lanyard without twisting.
School ID cards
School cards are student cards with the institution pushed to the front. The school name, crest and often a house or campus name go in the header band, in the school's own colours. Set those colours once in the design panel and every card on every sheet picks them up.
Schools also tend to print in batches by class. The bulk import is the fastest route: export one class from your management system as CSV, paste it, check the mapping, and generate. Then repeat for the next class with the same design settings still in place. If different classes need different colours, change the header colour between batches — the setting is one click and applies to the whole sheet.
Office ID cards
Office and corporate cards usually mean something more restrained: a narrow accent panel rather than a broad coloured band, a smaller logo, a lot of white space. The office template uses a vertical accent strip with the photograph inside it, which reads as more formal than a header band and leaves the rest of the card clean.
If your organisation has a brand guideline, the four colour controls — header, background, text and accent — are usually enough to match it exactly. Paste your brand hex value into the accent field and the card, the strip and the dividing rules all follow it.
Event and visitor ID cards
Event badges and visitor passes have the opposite priority to staff cards: the name matters and almost nothing else does. People need to read each other's names across a room, so the name should be as large as the card allows, with the company or role beneath it in a much smaller size.
The event template does exactly that and adds a coloured band at the foot for the event name. The visitor template puts a large VISITOR word mark at the top — deliberately loud, because the entire point of a visitor pass is that it is distinguishable from a staff badge from across a lobby — and gives the valid-until date real prominence so a day pass is obviously a day pass.
For events, the larger 105 × 74 mm badge size is worth considering. It holds a much bigger name and fits standard badge holders. It is a greedy size on A4 portrait — only 3 fit, in a single column — so switch the paper to A4 landscape, where you get 4 per sheet in a 2 × 2 grid.
How to print ID cards correctly
Nearly every complaint about ID card printing comes down to one thing: the browser or printer driver scaled the page and nobody noticed. A card that should be 85.6 mm comes out at 82 mm, which is invisible to the eye but fatal if the card has to fit a rigid holder.
The fix is to check three settings in the print dialog every time:
- Scale: 100% or Actual size. Never Fit to page or Shrink to fit. Those options exist to pull content inside the printer's unprintable border, and they do it by shrinking everything by a few percent.
- Headers and footers: off. Otherwise the browser adds the page URL and date, which can push the layout and waste a strip of paper.
- Background graphics: on. Some browsers strip background colours by default, which would print your coloured header bands as white.
If your printer genuinely cannot print within 10 mm of the paper edge, do not solve it by scaling. Increase the page margin in the tool instead — that keeps the cards at their true size and simply moves them inwards.
Finally, do a single test page on plain paper before committing card stock. Measure one printed card with a ruler. If it measures 85–86 mm you are set; if it measures 82 mm, something is still scaling.
Paper and finishing
Ordinary 80 gsm paper is fine for testing and for disposable event badges. For cards that will be handled daily, use 220–300 gsm card stock, or print on paper and laminate afterwards. If you laminate, leave 3–4 mm of clear film around each card so the seal holds — that means cutting slightly outside the crop marks rather than exactly on them.
Best ID card sizes
Card sizes are standardised, and staying on a standard means your cards fit holders, wallets and slot punches that already exist.

If you already own card holders or lanyard sleeves, measure them before choosing. Holders are made to the card standard, so a card printed a couple of millimetres over will not go in, and one printed a couple under will slide about.
Portrait vs landscape ID cards
Landscape is the default for a reason: it matches wallets, card readers and the way most people expect an identity card to look. Choose landscape when the card will be carried in a pocket, swiped in a reader, or when the design leans on a horizontal photo-left, details-right layout.
Portrait suits lanyards. A landscape card on a lanyard rotates and ends up sideways; a portrait card hangs square. Portrait also handles long lists of short fields better, because each one gets its own line rather than competing for width. Schools, conferences and hospitals tend to use portrait for that reason.
One thing to keep in mind: switching orientation changes how many cards fit on a page, and not always in the direction you expect. Check the statistics panel after you switch.
How to create bulk ID cards
Bulk mode exists because typing 200 names is not a reasonable use of anyone's afternoon. There are two ways in.
Paste from a spreadsheet. Select the rows in Excel, Google Sheets or LibreOffice — including the header row — copy, and paste into the data box. Spreadsheets copy as tab-separated text, which the parser recognises automatically. This is the fastest route and needs no file at all.
Load a CSV or TSV file. Choose the file and it is read locally into the same data box. Quoted fields containing commas are handled correctly, so an address like "21 Ring Road, Pune" stays in one column.
Either way, the next screen shows you two things before anything is created: the column mapping it guessed, and a preview table of the actual rows. Correct any mapping that is wrong, check that the preview looks like your data rather than like a mangled version of it, and only then create the cards. Rows with no name are flagged rather than silently imported.
Photographs cannot travel in a CSV. After importing, select each person in the list and attach their photograph — or leave the photo frames empty, which is perfectly normal for temporary passes and library cards.
How to prepare data for bulk ID cards
Ten minutes tidying a spreadsheet saves an hour of fixing cards afterwards. What matters:
- One header row, then one person per row. No merged cells, no blank spacer rows, no title row above the headers.
- Name the headers recognisably.
Name,Full Name,ID,Employee ID,Roll No,Class,Department,Designation,Phone,Email,DOBandValid Untilare all matched automatically. Anything else you map by hand in one click. - Format dates the way you want them printed. The tool prints date text exactly as it receives it, so decide on
12/2027or31-12-2027in the spreadsheet, not afterwards. - Watch the length of the longest value. Names and designations are shrunk to fit the card automatically, but a 45-character designation will end up small. Shorten it in the data if you can.
- Check for duplicate ID numbers before importing. A duplicate badge number causes real problems later and is trivially avoidable now.
How to print ID cards on A4 paper
Step by step, from a finished sheet preview:
- Confirm the statistics panel shows the grid and page count you expect.
- Turn on crop marks. They cost nothing and make cutting far more accurate than eyeballing the card edges.
- Press Print ID Cards. Only the sheet pages go to the printer — the editor, the site header and this article are all excluded.
- In the print dialog set scale to 100%, headers and footers off, background graphics on.
- Print one page on plain paper first and measure a card.
- Load your card stock and print the rest.
- Cut with a guillotine or trimmer against the crop marks. A trimmer gives a far cleaner edge than scissors, and stacking two or three sheets at a time is faster and stays square.
If you would rather not print from the browser at all — for instance because the job is going to a print shop — download the PDF instead. It is built at the exact page size you selected, so the shop does not have to guess or rescale.
ID card design tips
- Make the photo bigger than feels necessary. Recognition at a distance is the card's main job. A photo that looks generous on screen usually looks about right in a lanyard at arm's length.
- One strong colour, not four. A single accent used for the header band, the divider rule and the number label looks designed. Three competing colours looks like a template.
- Keep contrast high. Dark text on a light background stays legible under bad lighting and survives a cheap printer. Light text on a mid-tone band is where legibility goes to die.
- Leave a quiet margin. Nothing important should sit within 3 mm of the card edge — trimming is never perfectly accurate, and a name clipped by a millimetre looks careless.
- Be consistent about names. Decide on Priya Sharma or SHARMA, PRIYA and apply it to every row before importing.
- Use headshots, not group-photo crops. Face centred, shoulders visible, plain background, even light. The cropper will help, but it cannot invent detail that a distant snapshot never had.
- Print a proof of the worst case. Find the longest name and the darkest photo in your batch and print those two first.
Privacy and browser-based processing
ID card data is personal data. Names, photographs, dates of birth, addresses and employee numbers together are exactly the kind of set that ought not to be scattered across random web services.
This tool avoids the problem by not having a server side. Photographs are read with the browser's FileReader API, decoded into an <img>, and drawn onto a <canvas>. The cards, the sheet preview, the PNG export and the PDF are all produced from that canvas by JavaScript running in your tab. There is no endpoint to upload to, so there is nothing to delete afterwards.
Two honest caveats, because vague security claims help nobody:
- Your draft — settings, text fields and photographs — is saved in this browser's
localStorageso a refresh does not lose your work. That is data at rest on your own machine. On a shared or public computer, press Reset everything when you finish, which clears it. - Printing hands the document to your operating system's print system, and downloading writes a file to your disk. What happens to a spooled print job or a saved PDF after that is governed by your own machine and network, not by this page.
Beyond that, the page loads no third-party code into the card-building path and sends no card data anywhere.
